Pantry Scout is operated by Pantry Scout LLC, a Kansas limited liability company ("we," "us," "our"). We provide a voice-first household inventory app and the Scout Outpost voice device. This policy explains what information we collect, how it's used, who we share it with, and the choices you have.
Information We Collect
- Audio recordings. When you use the microphone to log an item, we briefly capture audio while you're speaking so it can be transcribed into text. Audio is not recorded continuously — only while you are actively pressing or have activated the microphone.
- Transcripts and parsed inventory data. The words you speak are converted to text, and that text is interpreted into structured inventory entries (item name, quantity, unit, location, and action).
- Photos. If you use the photo-import feature, the image you take or choose is processed to identify pantry items.
- Inventory contents. The items, quantities, locations, and expiration dates you or your household log.
- Account and login information. Your email address and password (or magic-link login), used to authenticate your household account.
- Device pairing information. If you pair an Outpost or other hardware device, we store a device token and its assigned location so it can log entries to the correct household.
- Location labels you choose. Labels like "Fridge," "Pantry," or "Garage Freezer" are plain text you create — we do not collect or use your device's physical GPS location.
- Outpost diagnostics. A paired Outpost may report basic technical information, such as connection status and timing, WiFi signal strength, and the name of your internet provider (looked up from the network address the device connects from). We use this only to find and fix connection problems.
- Feedback, signups and surveys. If you send us feedback, sign up for a pilot or waitlist, or answer one of our surveys, we keep what you tell us, such as your name, email, household size, internet provider, phone type and your answers.
- Card scan counts. When you open our website from a QR code on one of our printed cards, we record the time and which card it was, so we know which cards are seen. This count doesn't include your name, email, or anything that identifies you.
How We Use This Information
We use the information above solely to operate the app's core features: transcribing and parsing your spoken or photographed entries, maintaining your household's inventory and shopping list, sending you optional email digests you've requested, and providing meal suggestions based on what you have on hand. We also use device diagnostics to keep Outposts working, and feedback, signup and survey answers to contact you about programs you joined and to improve Pantry Scout. When we report results from a pilot or survey, for example to a grant program that supports us, we do not name individual households.
Audio recordings are used only to produce a text transcript and are not retained for any purpose beyond that transcription step.
Who We Share Information With
We use the following service providers to operate Pantry Scout. Each processes only the data necessary to perform its function, and none are permitted to use your data for their own purposes:
- OpenAI — transcribes audio recordings into text.
- Anthropic — interprets transcribed text (or photos) into structured inventory entries and generates meal suggestions.
- Supabase — hosts our database and handles account authentication.
- Resend — delivers optional email digests you request.
- Cloudflare — hosts our website and app and routes email sent to our addresses.
- Google — stores pilot and waitlist signups, survey answers and card scan counts (Google Sheets) and handles our email correspondence (Gmail).
We do not sell your information, and we do not share it with advertisers or data brokers.
Shared Household Access
Pantry Scout is designed for household-wide use: everyone in a household signs in with the same login credentials, and anyone with access to that login can see and edit all of that household's inventory, activity history, and account settings.
Data Retention and Deletion
We retain your inventory history, account information, and device pairings for as long as your account is active. You can request deletion of your entire account and all associated data, or a reset of just your inventory history while keeping your paired devices, at any time, using the account deletion request button on the app's Help tab or by contacting us using the information below. We process deletion requests within a reasonable timeframe. To have your signup or survey answers deleted, contact us.
Children's Privacy
Pantry Scout is not directed at children under 13, and we do not knowingly collect personal information from children under 13.
Changes to This Policy
We may update this policy from time to time. If we make material changes, we'll update the "Last updated" date above. Continued use of Pantry Scout after a change means you accept the updated policy.
